CANCELLATION POLICIES
PEACE OF MIND

If for any reason you have to change or cancel your trip, more than 30 days in advance, you have these options:

  1. Cancel and we will refund you 100%
  2. Change your trip for another alternative
  3. Postponing the trip for later

Less than 30 days notice the following cancellation fees apply:

  • Between 15 and 30 days in advance, a charge of 50% of the total amount of the trip applies
  • Between 15 and 8 days in advance, the charge is 60% of the total value of the trip
  • With less than 7 days in advance, 100% of the total trip

With your reservation the money is transferred to our team and our suppliers who help us to create the travel experience. The suppliers acquire the supplies and prepare all the necessary equipment to receive the clients and guarantee the best experience. Transport, licenses, permits or entrances to protected areas, national parks, private properties, etc. are also managed. When a cancellation occurs, it is necessary to put contingency plans in place in order to help the participant in their decision to cancel and save what is possible. Therefore, cancellations produce a cost.

TERMS AND CONDITIONS

  • How to cancel: You must notify us about the cancellation via email to: info@quelocotours.com. Any cancellation will be effective only when we receive written notification via email.

  • Any additional cost generated by the cancellation will be charged directly to the client.

  • If you change the trip for an alternative trip, we will return any difference if the alternative trip is of a lower price, and you will be responsible for paying any additional costs if the alternative trip is of a higher price.

  • If the client misses the transport for any reason due to not being at the time, date and place to start the trip, there will not be any reimbursed.

  • Seven days before the trip, the payment must be covered with the remaining total for the number of places reserved, even if someone could not attend

  • We reserve the right to cancel or modify the itinerary of any tour due to circumstances beyond our control, such as weather changes, pandemics, natural phenomena, political problems, security, for which date changes will be offered at no extra cost.

  • When there is not the minimum number of people necessary to make the trip, an alternative trip will be offered, or 100% of the money will be refunded.

  • If the trip is delayed due to bad weather, canceled or delayed flights, as well as delays in any form of transportation, illness or situations beyond our control, that of our operator or its collaborators, the cost and consequences of such events in no case will be included.

  • Any additional cost generated by delays will be charged directly to the customer.

  • If you have a refund, it will be sent 5 business days after receiving by mail the CLABE account number to which the refund is requested, as well as the deposit receipts that support your reservation.

Hot Air Balloon – Specific Terms

For the Hot Air Balloon Ride over Teotihuacan, the following conditions apply:

  1. Schedule & grace period:
    Guests must arrive at the confirmed check-in time provided the day before the flight. A 10-minute grace period applies. Arrivals beyond that will be considered a no-show and are non-refundable.

  2. Weather & safety:
    For safety reasons, flights may be delayed or cancelled in case of heavy fog, prolonged rain, or winds exceeding 15 km/h (as determined by the operator in accordance with aviation safety regulations).

    • In these cases, no refunds will be applied.

    • Instead, the activity can be rescheduled free of charge within the following 90 days (3 months), subject to availability.

  3. Date changes by guest:

    • Guests may request one (1) free date change if notified at least 72 hours prior to the scheduled flight (via email or WhatsApp).

    • Requests within the 72 hours before the flight are not eligible for changes.

  4. No-show / late arrivals:
    Failure to arrive on time (after the grace period) or not showing up at all is considered a no-show, resulting in the loss of the booking with no refund or reschedule.

  5. Eligibility & restrictions:
    Participation is subject to published medical and safety restrictions (minimum age, health conditions, etc.). Guests under the influence of alcohol or drugs, pregnant women, and those with cardiovascular conditions or recent surgeries cannot participate.

  6. Language & assistance:
    Ground staff is available in Spanish and English for check-in and safety assistance. Pilots provide instructions in Spanish with basic English support, and all safety information is available in English on screen. Drivers for the transportation option speak only Spanish, but communication during the ride is rarely required.

  7. Insurance:
    All balloon flights include traveler insurance and certified commercial pilots, in compliance with the Federal Civil Aviation Agency (AFAC) requirements.

  8. Acceptance:
    By booking, the guest confirms having read, understood, and accepted these terms and conditions.
